Setting up fax forwarding

Connect your fax provider to Second Door so referral faxes become leads automatically.

This guide walks you through connecting your fax provider to Second Door so incoming referral faxes automatically create leads on your dashboard. The setup takes a few minutes per location and doesn't change anything about your existing fax workflow.

You'll need access to your Second Door account and your fax provider's account (e.g., SRFax) to complete these steps. If you have multiple locations, you'll repeat the process for each one.

For a guide on working fax leads and managing your fax queue once forwarding is live, see the Fax Management Workflow guide.

1. Find your forwarding email in Second Door

Each location has a unique fax referral forwarding email. You'll paste this into your fax provider's settings in the next step.

  1. Log in to your Second Door account.
  2. Go to Settings → Locations.
  3. Select the location you want to set up.
  4. Copy the fax referral forwarding email shown for that location.

Each location has its own forwarding email. If you're setting up multiple locations, copy each one separately and use the correct email for each fax provider sub-account in the next step.

2. Add the forwarding email to your fax provider

This step tells your fax provider to send a copy of every incoming fax to Second Door. Your staff will still receive faxes exactly as they do today.

How to configure SRFax

SRFax is the most common fax provider among Second Door practices.

  1. Log in to your SRFax account.
  2. Navigate to Settings → Receiving Faxes.
  3. Under Notification Settings, toggle Send Notifications for Received Faxes to On.
  4. In the Email Addresses to Notify field, add the Second Door forwarding email you copied in step 1.
  5. Check the box for Attach fax to the Email Notification.
  6. Click Update / Save.

Multiple locations with separate SRFax sub-accounts: Repeat steps 1–6 for each sub-account, using the location-specific forwarding email from Second Door that corresponds to that fax number.

Already have notification emails in SRFax? Enter each email address on its own line. Adding the Second Door forwarding email won't affect your existing notifications.

How to configure a different fax provider

The setup works with any fax provider that can forward incoming faxes as email attachments. The general steps are the same:

  1. Find the email forwarding or notification settings in your fax provider's account.
  2. Add your Second Door forwarding email (from Settings → Locations).
  3. Make sure the fax document is attached to the email, not just a notification that a fax arrived.
  4. Save your changes.

If you run into trouble configuring a different provider, reach out to your Second Door contact and we'll walk you through it.

3. Verify forwarding is working

After saving your fax provider settings, run a quick test to make sure everything is connected.

  1. Send a test fax to the fax number you just configured.
  2. Wait a few minutes, then check your lead dashboard in Second Door.
  3. Confirm that a new lead appeared from the test fax.

If the lead doesn't appear within a few minutes, double-check that the forwarding email is entered correctly in your fax provider and that the Attach fax to the Email Notification box is checked.

4. Repeat for each location

If you have additional locations, go back to step 1 and repeat the process for each one. Use the forwarding email specific to each location from Settings → Locations in Second Door.

Once all locations are configured, incoming referral faxes will begin appearing as leads on your dashboard automatically. For a guide on how to work those leads day-to-day, see the Fax Management Workflow guide.
